Our Commitment to Responsible AI

At Evalu8-Evolve, we believe AI should support better business decisions, improve efficiency and strengthen strategic thinking, without replacing human expertise, accountability or judgment.

We use AI responsibly to support our business advisory, strategic planning and client services.

Our approach is simple: Structure First. Then AI.

1. How We Use AI

AI may support our work in:

Business diagnostics and strategic growth planning
Research, analysis and forecasting
Workflow and operational improvements
Product and service development
Drafting and reviewing business communications
Preparing strategic recommendations and client deliverables

AI is a supporting tool. All significant recommendations, client deliverables and decisions remain subject to human review.

2. Human Oversight and Accountability

Evalu8-Evolve maintains a human-in-the-loop approach.

AI does not independently:

Make final business or client decisions
Approve contracts or financial commitments
Send external communications without authorization
Publish content without review
Make legal, privacy or compliance decisions
Act independently within connected business systems

We retain responsibility for our professional recommendations, communications and services.

3. Client Privacy and Confidentiality

We respect the confidentiality of client information and recognize our responsibility to protect information entrusted to us.

AI-supported processing of client information is governed by applicable client agreements, confidentiality obligations and our Privacy Policy.

We apply information-handling safeguards, including:

Using only the information reasonably necessary for an approved purpose
Removing identifying details where appropriate
Reviewing confidentiality restrictions before using client materials
Restricting sensitive information and protecting access to business systems
Reviewing AI-generated outputs before they are used or shared

Client information is not automatically authorized for use in every AI tool or for every purpose.

4. AI Tools and Security

Evalu8-Evolve reviews the AI tools it uses for business activities.

We establish boundaries around approved uses, information handling, account access and connected systems.

Our safeguards include individual account access, multifactor authentication where supported, review of privacy and data-use settings, and human authorization before actions are taken.

New AI tools and features are assessed before being used with confidential business or client information.

5. Accuracy and Quality

AI-generated information can contain errors, outdated facts, incomplete analysis or misleading recommendations.

We review significant AI-assisted outputs for accuracy, relevance, confidentiality and suitability before using them in our work.

AI does not replace independent verification or qualified professional advice where required.

6. Responsible AI Practices

Our AI use is guided by five principles:

Accountability: People remain responsible for decisions and outcomes.
Privacy: Client and business information must be appropriately protected.
Transparency: We communicate responsibly about our use of AI.
Accuracy: Important AI-supported work is reviewed before use.
Continuous Improvement: We review our practices as AI tools, business needs and applicable requirements evolve.

7. If Something Goes Wrong

We take AI-related privacy, confidentiality and security concerns seriously.

Suspected incidents are assessed, appropriate steps are taken to limit further exposure, and applicable contractual, notification or reporting requirements are considered.

Where necessary, we seek qualified professional assistance.

8. Policy Review

This policy is reviewed at least annually, with a six-month check-in and earlier updates when significant changes occur in our AI tools, practices, business activities or applicable requirements.
